Opportunity Forms

Update the exact HighLevel Opportunity from a form

Send sales staff, customers, contractors or partners a secure form for one specific Opportunity. Current Opportunity values are pre-filled and changes go back to that exact record.

One Contact can have several Opportunities

Contact identity alone does not identify the correct transaction, project or job. A generic "update your details" form has no way to know which deal, site or engagement you actually mean – the Opportunity does.

How it works

A simpler Opportunity update flow

Trigger
Find or resolve Opportunity
Generate Record Update Form
Object = Opportunity, Record ID = Opportunity ID
Send form_url
Recipient reviews current values
Changes save to that Opportunity

Keep Opportunity data on the Opportunity

Transaction-specific information – deal stage details, site conditions, approval status – shouldn't have to be copied temporarily into Contact fields just to get it into a form. It belongs on the Opportunity, and Update Records with Forms reads and writes it there directly.

Move deals forward

Advance the Pipeline Stage the moment the form is submitted

Set the Opportunity's starting Pipeline & Stage right on the workflow action. When the recipient submits, the Opportunity moves to that stage automatically – no separate trigger or extra automation step required to advance the deal.

Workflow sets Pipeline + Stage
Form pre-fills with that value
Recipient reviews or changes it
Submits → Opportunity moves stage

Nothing changes on the Opportunity until the form is actually submitted – opening the link to look never moves it. The Pipeline and Stage fields still show on the form and can still be edited by the recipient unless separately hidden or made read-only.

Use several forms during one Opportunity lifecycle

Send a different focused form at each stage of the same deal.

Only changed fields are written back

If the recipient reviews the whole Opportunity and updates one field, only that field changes. Everything else stays exactly as it was.

Continue automation with Record Update Form Submitted

Move the Opportunity forward, notify the next owner, or trigger the next stage of the workflow the moment the form comes back.

Optional: verify it's really them first

Turn on Send Verification Code to require a one-time code sent to the Opportunity contact's phone or email before the form loads. See Verification.
